What is a gutter cleaning invoice?
A gutter cleaning invoice is priced on two variables: how much gutter there is and how hard it is to reach. Linear feet times a rate that steps up by storey covers ninety percent of residential work, and stating both on the invoice makes the price checkable.
Downspouts are the part customers actually care about, because a blocked downspout is what floods a basement. Bill them per unit flushed and tested, and note any that were found clogged or damaged. A line reading "downspouts flushed and water-tested — 6, one cleared of compacted debris" is worth more to the customer than the entire cleaning line.
Everything else on this trade's invoice is either an upsell or a warning: guard installation, resealing seams, resetting hangers, correcting pitch, fascia damage found. Put findings in the notes even when you did not do the work — it is a record that you looked, and it is where next season's job comes from.
What to include
Everything below is already in the generator above — this is what each part is for.

Address and total linear feet of gutter cleaned, with the number of storeys.
Storey or access factor
The rate step for second and third storeys, steep pitch or restricted access.
Downspouts flushed
Count of downspouts cleared and water-tested, noting any found blocked.
Debris removal
Whether debris was bagged and hauled or dispersed, and any disposal charge.
Repairs and resealing
Hangers reset, seams resealed, sections re-pitched, with parts listed.
Guards and screens
Guard type, linear feet installed, and the warranty that comes with it.
Three steps to a finished PDF
Enter the property
Address, total linear feet, storeys and the date of the visit.
Bill cleaning, downspouts, then extras
Footage at the storey rate, downspouts per unit, then repairs, hauling and guards.
Download and send
Download the PDF, add the findings to the notes and send it the same day.
Footage, access and turning visits into a season
Rate by storey, not by guesswork
Publish three rates: single storey, two storey, three storey or difficult access. A steep roof, a conservatory below the gutter line or a run only reachable from a ladder standing on a slope all belong in the top band. Deciding the band on site and writing it on the invoice is faster and fairer than an hourly count nobody can verify.
Test downspouts and say that you did
- Flush each downspout and confirm flow at the outlet.
- Note underground drain lines that back up — that is a different, larger job.
- Record any downspout that had to be opened or re-secured.
Report what you found
From a ladder you see things the homeowner never will: rotted fascia, loose hangers, missing drip edge, granule loss in the gutters that says the roof is aging, nests. Write them in the invoice notes with no sales pressure. Half of them become work later, and all of them make the invoice look like the output of a professional rather than a man with a leaf blower.
Sell the season, bill the visit
Gutters need clearing twice a year in most of the country, more with pines. Sell a spring-and-fall plan at a modest discount, invoice each visit as it happens with the visit number and the next scheduled month, and take the scheduling decision away from the customer. Prepaid annual plans smooth out the winter cash gap.
Three mistakes that delay payment
Hourly billing on ladder work
It rewards slowness and makes the price impossible to compare. Bill footage at a storey rate.
Downspouts not itemised
The downspouts are the point. Show they were flushed and tested, individually.
Findings left unsaid
Rotted fascia noticed and not written down is a missed job now and a dispute later.
