What is a auto detailing invoice?
An auto detailing invoice has to survive being read next to a competitor's. Detailing prices vary enormously for reasons customers cannot see, so the invoice is where the difference becomes visible: which stages of correction were performed, what coating was applied, how many hours of decontamination came before it.
Price packages by vehicle size — coupe, sedan, mid SUV, large SUV or truck — and say which band was applied. A three-row SUV is fifty percent more surface than a compact and considerably more interior, and a size band on the invoice ends that argument permanently.
Add-ons are where detailing jobs actually go over. Pet hair removal, biological contamination, heavy tar, industrial fallout, overspray, smoke odour and dealer-applied pinstripe removal each add hours. Quote them as named add-ons with their own prices, applied when found and photographed, rather than absorbing them and resenting it.
What to include
Everything below is already in the generator above — this is what each part is for.
Vehicle details
Year, make, model, colour and VIN or plate, plus the size band used for pricing.
Package and what it included
The package name and its component services, so the price maps to work.
Decontamination steps
Chemical decon, iron removal, clay bar and tar removal, listed as performed.
Paint correction stages
One-step, two-step or multi-stage, with the pads and compounds used and the gloss result.
Coating or protection applied
Wax, sealant or ceramic coating by brand and rated durability, with cure instructions.
Add-ons and condition charges
Pet hair, biohazard, smoke, overspray or excessive soiling, each priced and noted.
Three steps to a finished PDF
Enter the vehicle and package
Year, make, model, colour, plate or VIN, and the size band the package was priced at.
Itemise decon, correction, coating and add-ons
Each stage as its own line so the customer can see the work behind the price.
Download and send
Download the PDF with the cure and aftercare instructions in the notes, and send it at handover.
Packages, correction pricing and coating warranties
Set size bands and hold them
Four bands — compact, sedan, mid SUV, large SUV and truck — with a fixed price per package in each. Detailers who quote one price for "a car" lose money on every third-row Suburban with three kids' worth of interior. The band goes on the invoice next to the package name.
Bill correction by stage and be honest about it
- A one-step polish improves gloss and removes light marring; say so, and do not call it correction.
- Two-step and multi-stage work should state pads, compounds and the defect removal achieved.
- Photograph paint depth readings and before-and-after under lighting on high-value work.
Coatings are a warranty, so write the terms
A ceramic coating sale is partly a promise about the future. Name the product, its rated durability, the layers applied and the cure time, and state the maintenance conditions that keep any warranty valid — no automatic washes, a maintenance wash schedule, an inspection at twelve months. A coating invoice without those terms is an argument waiting to happen in year two.
Deposits, mobile travel and no-shows
Multi-day correction work should carry a deposit; the bay is booked and cannot be resold. For mobile detailing, bill travel beyond a stated radius, and require water and power or bill for the tank and generator. Publish a no-show and late-cancellation fee and put it in the terms — a full-day slot lost the morning of is a full day of revenue gone.
Three mistakes that delay payment
One package price, no size band
You lose money on big vehicles and look overpriced on small ones. Band it.
"Paint correction" with no stage stated
It is the most abused phrase in the trade. State the stages, pads and result, and your price defends itself.
Coating sold without written care terms
The warranty conversation happens eighteen months later. Put the maintenance conditions on the invoice.
