What is an auto repair invoice?
An auto repair invoice records what was done to a specific vehicle, what it cost, and what is guaranteed afterwards. It closes out a work order: the customer authorised an estimate, the shop performed the work, and the invoice reconciles the two.
It is also the customer’s service record. Years later, a resale listing, a warranty claim or a dispute about a repeated fault all come back to this document — which is why the vehicle details, VIN and odometer reading matter as much as the amounts.
Structurally it is always the same split: parts, each with its price, and labor, as hours at a posted rate. Shop supplies, diagnostic time, disposal fees and sales tax sit around that split. Several states also regulate what a repair invoice must show and how far it may exceed the written estimate without new authorisation.
What to include
Everything below is already in the generator above — this is what each part is for.
Shop and customer details
Your shop name, address, phone, and any state repair-facility registration number, plus the customer’s details.
Vehicle, VIN and odometer
Year, make, model, plate, VIN and the mileage in at minimum. This is what makes the invoice a service record.
Complaint and work performed
What the customer reported and what was actually done — briefly, in plain language, per job.
Parts, listed individually
Each part with quantity and price, and whether it is new, remanufactured or used where that matters.
Labor hours and rate
Hours per job at your posted labor rate, so the customer can see time separately from parts.
Fees, tax and warranty
Shop supplies, disposal and diagnostic fees, sales tax on the taxable portion, and the warranty on parts and labor.
Three steps to a finished PDF
Enter vehicle and customer
Your shop and the customer, with the vehicle, VIN and odometer in the client or notes field.
Bill parts and labor
One line per part with quantity and price, then labor as hours × your rate. Add fees and set your sales-tax rate.
Download and hand over
Download the PDF, give the customer a copy at pickup and keep one for the shop’s records.
Billing repair work customers trust
Estimate first, in writing
Most states require a written estimate and customer authorisation before work begins, and many limit how far the final bill may exceed it — often a fixed percentage — without a documented new approval. Note the estimate and the approval on the invoice; it turns a potential argument into a reference.
Keep parts and labor visibly separate
Customers accept a total far more readily when they can see the split. It also matters for tax: in many states parts are taxable and labor is not, which is impossible to show on a combined line. If you mark parts up, that is normal industry practice — what causes complaints is a total nobody can decompose.
State the warranty on the invoice
- Say what is covered, for how long, and in miles as well as months where relevant.
- Distinguish the parts manufacturer’s warranty from your labor warranty.
- A written warranty on the invoice is also your defence when an unrelated fault appears two months later.
Record mileage every time
Odometer readings turn a stack of invoices into a maintenance history, which is worth real money at resale and settles most “you already fixed this” conversations. Record mileage in on every job, and mileage out on any job involving a road test.
Three mistakes that delay payment
No VIN or mileage
Without them the invoice is a receipt, not a service record, and warranty claims get harder.
Parts and labor combined
It hides the tax treatment and is the line customers query most.
Exceeding the estimate silently
In many states additional work needs documented authorisation before it is performed.
