What is a voice over invoice?
A voice over invoice separates two payments that clients often assume are one: the session fee for recording, and the usage fee for the right to broadcast it. Losing the second one is the most expensive mistake in the profession.
Usage is defined by media, territory and term — a regional radio spot for six months is not a national TV campaign in perpetuity, and the invoice should say which one was bought. When the client comes back for renewal, that line is the contract.
Long-form work prices differently: audiobooks per finished hour, e-learning per finished minute or module, IVR per prompt. Whatever the unit, state it, along with pickup and retake terms — the free window and the rate after it.

Session fees, usage and renewals
Never bundle usage into the session fee
A session fee pays for your time in the booth. A usage fee pays for the value the client extracts from the recording, and it scales with reach and duration. Bundling them means a client can run your voice nationally for five years on a rate you quoted for an afternoon — and there is no way back once the invoice is settled.
Define media, territory and term
- Media: online only, radio, TV, in-store, cinema, paid social — each priced separately.
- Territory: local, regional, national, worldwide.
- Term: 3, 6, 12 months or perpetual, with the renewal price stated now.
Price pickups and buyouts up front
Include a free pickup window for genuine errors — 14 days is common — and state the rate for script changes after that. Full buyouts and perpetuity should carry a serious multiple of the session fee, because you are selling something you can never sell again. Put the renewal figure on this invoice; it makes the follow-up conversation a formality.
Three mistakes that delay payment
One fee for everything
You have sold unlimited usage at a session price, permanently.
No term or territory
Undefined usage defaults, in practice, to whatever the client decides.
Unlimited free pickups
Script rewrites become your problem instead of a billable line.
