What is a real estate agent invoice?
A real estate agent invoice usually goes to a brokerage rather than a buyer or seller. It states the property, the closing date, the gross commission and how the split lands, so accounting can release your share without a phone call.
Referral invoices work the same way with different arithmetic: a percentage of the receiving agent's commission, tied to a named client and a closed transaction. Because referral fees between licensees are paid brokerage to brokerage, both license numbers belong on the document.
Agents also invoice for work that is not commission at all — listing photography rebilled at cost, staging, transaction coordination for other agents. Keeping those lines separate from commission keeps the paperwork clean at tax time.
What to include
Everything below is already in the generator above — this is what each part is for.
Property address and MLS number
The transaction the invoice is for, identified the way the brokerage files it.
Closing date
The date of settlement, which drives when the commission is payable.
Gross commission and split
Sale price, commission percentage, and your side of the split as its own line.
Referral fee percentage
For referrals, the percentage of the receiving agent's commission and the client referred.
License and brokerage details
Your license number and brokerage, since licensee payments run through the brokerage.
Marketing and coordination costs
Photography, staging, signage or TC fees billed separately from commission.
Three steps to a finished PDF
Identify the transaction
Property address, MLS number, closing date and the parties involved.
Bill the commission or fee
Gross commission and your split, or the referral percentage, plus any rebilled costs.
Download and send
Send the PDF to the brokerage or the receiving agent's broker on the day of closing.
Commissions, referrals and getting paid at closing
Invoice on the day it closes
Commission disbursement happens in a window. Brokerages and title companies process what is in front of them at settlement, and an invoice that arrives three days later joins the next cycle. Have the PDF ready before the closing appointment.
Show the arithmetic
- Sale price, commission rate, gross commission — then the split, in that order.
- Name the co-operating brokerage where the commission is shared.
- Reference the listing or buyer agreement that sets the rate.
Keep referral fees licensee-clean
Referral fees between agents are paid broker to broker, and the invoice should reflect that: your brokerage as payee, your license number visible, the referred client named, and the fee stated as a percentage of the receiving agent's commission on a closed transaction. Anything looser invites a compliance question.
Three mistakes that delay payment
No property or MLS reference
Brokerage accounting cannot match the invoice to a file, so it waits.
Commission and costs merged
Rebilled photography inside a commission line distorts both your books and theirs.
Sent after disbursement
Miss the settlement window and your payment moves to the following cycle.
