What is a marketing agency invoice?
A marketing agency invoice usually bills three things that behave differently: a recurring retainer for ongoing work, project fees for campaigns or assets, and media spend that passes through you to a platform.
Ad spend is the line that causes the most trouble. It is not agency revenue — it is the client’s money moving through your account — and mixing it into a services total makes your fee look enormous and your margin invisible. Show media budget, show the management fee, and show which platforms the spend went to.
The other recurring question is what the retainer includes. Named deliverables or hours, with a stated overage rate, turn an open-ended monthly fee into something a client can evaluate and renew rather than quietly resent.
What to include
Everything below is already in the generator above — this is what each part is for.
Retainer with the month named
The recurring fee, the period it covers and a short statement of what it includes.
Project and campaign lines
Campaign builds, creative production and one-off assets, referenced to an approved estimate.
Ad spend, by platform
Media budget passed through, split by platform, with the period the spend covers.
Management fee basis
Whether management is a flat fee or a percentage of spend — and on what amount it was calculated.
Tools and subscriptions
Third-party software, stock, influencer or listing fees billed at cost or with a stated markup.
PO reference and terms
The client’s purchase order, payment terms, and when ad spend is due relative to the campaign start.
Three steps to a finished PDF
Enter client and period
Your agency and the client’s billing entity, the PO number, and the covered month in the notes field.
Bill fees, then media
Retainer and project lines first, then ad spend by platform, then the management fee and any tools at cost.
Download and send to AP
Download the PDF and send it on a fixed monthly date, copying both your client contact and accounts payable.
Agency billing that survives a finance review
Never let media hide your fee
A client seeing a single $34,000 line has no way to know that $28,000 of it went to Meta and Google. Separate the spend, name the platforms and show your fee on its own line. It makes your price defensible and makes the client’s own reporting possible.
Collect ad spend before it is spent
- Invoice media budget in advance of the flight, not after — running client spend on your card is a financing decision, not a service.
- State the spend period on the line so the money is tied to a specific flight.
- Reconcile actual spend against invoiced budget monthly and credit or bill the difference visibly.
Define the retainer’s edges
List what the monthly fee includes — channels managed, content pieces, reporting cadence — and set an overage rate for anything beyond it. Retainers without edges are the ones that get cancelled in the twelfth month with no warning.
Tie fees to something the client can see
Where a percentage of spend is your model, state the percentage and the base. Where it is a flat fee, name the deliverables. Both are respectable; what erodes trust is a fee that moves for reasons the client cannot reconstruct from the invoice.
Three mistakes that delay payment
Spend merged with fees
It inflates your apparent price and destroys the client’s reporting.
Media billed in arrears
Fronting client ad spend turns an agency into an unsecured lender.
Retainer scope unstated
Undefined monthly fees are the first thing cut in a budget review.
