What is an HVAC invoice?
An HVAC invoice bills for service or installation on heating, ventilation, air conditioning or refrigeration equipment. It has one requirement most trades invoices do not: it should identify the equipment itself — make, model and serial — because warranty claims, refrigerant records and the next technician all depend on it.
The structure is a diagnostic charge, labor, parts and, where applicable, refrigerant by weight. Diagnostics deserve their own line: finding the fault is real skilled work, and pricing it separately lets you charge for the visit even when the customer defers the repair.
Maintenance agreements sit alongside all of this. They are a recurring fee for scheduled tune-ups plus priority service and a discount on repairs — billed like a retainer, with the covered period and the included visits named.
What to include
Everything below is already in the generator above — this is what each part is for.
Equipment make, model and serial
The unit serviced, recorded on the invoice. Warranty claims and future service both depend on it.
Diagnostic charge
The fee for finding the fault, priced separately from the repair and stated whether it is credited if work proceeds.
Findings and work performed
What was measured and what was done — pressures, temperatures, the part that failed and why.
Parts and refrigerant
Each part with its price, and refrigerant by type and weight, which several jurisdictions require to be recorded.
Labor and after-hours rate
Hours at the applicable rate, with emergency or after-hours work on its own clearly labelled line.
Warranty and maintenance plan
Parts and labor warranty, remaining manufacturer coverage, and any maintenance agreement discount applied.

Service and maintenance billing
Charge for the diagnosis
Finding an intermittent fault in a heat pump is the most skilled thing many technicians do in a week, and pricing it as free with a repair trains customers to see it as worthless. Charge a diagnostic fee, state clearly whether it is credited against the repair, and put it on the invoice as its own line.
Sell maintenance agreements, bill them like retainers
Two scheduled tune-ups, priority dispatch and a repair discount for a fixed annual or monthly fee smooths your revenue across the shoulder seasons and gives you a reason to be inside the customer’s house twice a year. Invoice the agreement separately from repairs, with the covered period named.
Record refrigerant precisely
- Log type and weight added or recovered on every invoice — several jurisdictions require the record.
- Note leak searches performed and results; repeated top-ups without a leak search are a problem.
- Price refrigerant per pound and show the weight, not a lump sum.
Quote replacements against the repair
When a repair approaches a large share of replacement cost, put both numbers in front of the customer in writing. Note on the invoice that a replacement quote was provided; it documents the advice and makes the follow-up conversation straightforward.
Three mistakes that delay payment
No equipment details
Without model and serial, warranty claims stall and the next visit starts from zero.
Free diagnostics
Giving away the skilled part of the call teaches customers it has no value.
Refrigerant as a lump sum
Type and weight matter for compliance as well as for trust.
