What is a equipment rental invoice?
An equipment rental invoice is a settlement document. The rental agreement set the terms; the invoice says what actually happened — when the unit went out, when it came back, what condition it was in, how much fuel was missing and what the deposit covered.
Rate tiers are the core of it. Daily, weekly and monthly rates are not multiples of each other, and the invoice should show which tier applied and why: a unit out for five days bills at the weekly rate if that is cheaper, and telling the customer so is worth more goodwill than the difference costs.
Everything else is the charges customers forget the agreement mentioned. Delivery and pickup, fuel returned below the level it left at, cleaning, damage waiver, environmental or tyre fees, and late return charges. All of them belong on the invoice as separate lines with the agreement clause behind them, because a charge that traces back to a signed document is a charge that gets paid.
What to include
Everything below is already in the generator above — this is what each part is for.
Rental agreement number
The contract this invoice settles, and the customer's PO or job reference.
Each unit rented
Description, unit or serial number, and the out and in dates and times.
Rate tier applied
Daily, weekly or monthly rate, and the number of billable periods.
Delivery, pickup and fuel
Transport both ways, and fuel refilled at the stated per-gallon rate.
Damage waiver and fees
Optional damage waiver percentage, environmental and consumable fees.
Deposit and condition
Deposit held, damage or cleaning deducted, and the balance returned or due.
Three steps to a finished PDF
Enter the agreement and units
Agreement number, customer, and each unit with its out and in dates.
Apply rate tiers and add-ons
The tier that applies to each unit, then delivery, fuel, waiver and any late or damage charges.
Download and send
Download the PDF with the deposit reconciliation shown and send it at return.
Rate tiers, deposits and charges that stick
Bill the tier that fits, and say so
Publish daily, weekly and four-week rates, and set a rule: any rental that costs more at the daily rate than the next tier up is billed at the tier. Then write it on the invoice — "out 5 days, billed at weekly rate". It costs a little revenue on some rentals and buys the reputation that brings contractors back every season.
Meter hours on powered equipment
- Record hour-meter readings out and in; excess hours beyond the daily allowance are billable.
- State the included hours per day — typically eight — and the overage rate.
- Hour readings also settle disputes about whether a unit was ever used.
Make the deposit reconciliation visible
Show the deposit held, each deduction with a reason, and the balance refunded. Cleaning and fuel charges deducted silently generate more complaints than any other practice in the rental business. A line reading "fuel — returned at 1/4, 12 gal @ $6.50 (agreement §7)" is boring and undisputable, which is exactly the goal.
Late returns and damage need the clause number
Late return charges, damage assessments and lost-accessory fees should each reference the clause of the rental agreement that authorises them. Photograph units at dispatch and at return. When a customer challenges a damage charge, the difference between a payment and a chargeback is a dated photograph and a contract clause on the invoice.
Three mistakes that delay payment
Daily rate applied to a week-long rental
The customer finds out later and stops renting from you. Apply the cheaper tier and show it.
Deposit deductions with no explanation
It is the fastest way to a dispute. Itemise every deduction with a reason and a clause.
No condition photos
Damage claims without dated photographs do not survive a chargeback.
