What is a moving invoice?

A moving invoice settles a job that was quoted before anyone saw how much stuff there actually was. Local moves are usually billed hourly by crew size, long-distance moves by weight or volume and distance, and both carry a list of accessorials — stairs, long carries, shuttles, bulky items, packing materials.

Because the final number often differs from the estimate, the invoice has to show how it got there. Hours from start to finish, crew size, travel time, and each extra as its own line. A total that arrives without that breakdown, on a day the customer is already exhausted, is the classic moving dispute.

Regulated interstate moves add paperwork of their own — a bill of lading, an estimate the final charge is measured against, and tariff rules on how much it may exceed. Referencing those documents on the invoice is what keeps a stressful day administrative.

Anatomy of the document

What to include

Everything below is already in the generator above — this is what each part is for.

Origin and destination

Both addresses, with floor and access notes — stairs, elevator, long carry — that explain the labour.

Crew size and hours

Number of movers and the hourly rate, with start and finish times, plus travel time if you bill it.

Truck and travel fees

Truck fee, fuel or mileage, and the double-drive or travel charge your jurisdiction allows.

Packing materials

Boxes, tape, paper, mattress bags and wardrobe boxes with quantities, at your stated prices.

Accessorials

Stairs, shuttle, bulky items, disassembly, hoisting or storage — each priced as agreed in the estimate.

Estimate and BOL reference

The estimate the job was booked on, the bill of lading number, and any valuation or insurance option selected.

How to use the generator

Three steps to a finished PDF

1

Enter customer and addresses

Your company and license or DOT number, the customer, both addresses, and the move date in the notes.

2

Bill hours, truck and materials

Crew hours × rate, truck and travel fees, then materials and each accessorial on its own line.

3

Download and settle

Download the PDF on site, walk the customer through it, and collect payment before unloading finishes.

Billing moving day

Quote in writing, invoice against the quote

Whether it is a non-binding estimate or a binding quote, put it in writing and reference it on the invoice. When the final figure is higher, the invoice should show which lines caused it — an extra hour, a shuttle, forty more boxes — rather than presenting a new number.

Price the extras before the truck arrives

  • Stairs, long carries, elevators and shuttles are the difference between a profitable move and a hard day.
  • Publish the prices, quote them at booking, and bill them without apology when they occur.
  • Bulky items — pianos, safes, treadmills — should be identified at survey, not at the door.

Bill materials honestly

Boxes and paper are real costs and customers accept them when they can see quantities. What generates complaints is a “materials” line with no detail. List what was used, and offer a packing kit price for full-service jobs so the number is agreed in advance.

Know the rules that apply to you

Interstate household moves in the US are federally regulated, with requirements around estimates, bills of lading and how much a final charge may exceed a non-binding estimate at delivery. Intrastate moves are governed by state rules that vary widely. Bill within the framework that applies to your operation, and keep the estimate, BOL and invoice consistent with each other.

Avoid these

Three mistakes that delay payment

No hours shown

A flat total on an hourly job cannot be verified and always gets questioned.

Accessorials unquoted

Stair fees introduced at the destination feel like a penalty, not a price.

Materials as one line

Undetailed material charges are the most disputed item on a moving invoice.

FAQ

Common questions

Use the generator on this page: enter your company and DOT number, both addresses and the move date, then bill crew hours times your rate, truck and travel fees, materials and each accessorial on its own line.
Hourly by crew size is standard: put the total hours in the quantity field and your hourly crew rate in the rate field, then add travel time and the truck fee separately.
As their own priced lines, quoted at booking. Extras that appear for the first time on the invoice are the main cause of moving disputes.
Yes — boxes, tape, paper and mattress bags with quantities. An undetailed materials charge is the line customers challenge most.
Yes. Reference the estimate and bill of lading in the notes, and make sure the invoice explains any difference between the estimate and the final charge.
