What is a yoga instructor invoice?

A yoga instructor invoice is usually one of three things. A studio invoice listing the classes you taught that month, at a per-class or per-head rate. A private client invoice for a package of sessions. Or a corporate, workshop or retreat invoice with a deposit and a contract behind it.

The studio invoice is the one most teachers get wrong by not sending at all. Studios that pay contractors expect an invoice; without one, payment happens when the owner remembers. List every class by date, time and class name, note substitutions separately, and show the rate structure — flat, per head, or a base plus per head above a threshold. It takes ten minutes a month and it moves you from "the teacher" to "a vendor with an invoice number".

Private and corporate work is where the rate is actually yours to set. Travel to a client, a corporate lunchtime class for twenty employees, or a workshop you filled yourself should all be priced well above the studio per-class rate, because you are supplying the students, the insurance and the space arrangements as well as the teaching.

Anatomy of the document

What to include

Everything below is already in the generator above — this is what each part is for.

Who is being billed

Studio, private client, corporate employer or retreat organiser.

Classes taught

Each class by date, time and name, with covers and substitutions marked.

Rate structure

Flat per class, per head, or a base rate plus per head above an attendance threshold.

Private sessions and packages

Session count, duration, location and whether travel was included.

Workshops, corporate and retreats

Fee, headcount, duration, materials and any revenue split.

Contractor details

Your business details, certification (RYT), insurance and W-9 status where the payer needs it.

How to use the generator

Three steps to a finished PDF

1

Choose who you are billing

A studio month, a private package, or a corporate or workshop booking.

2

List classes or sessions with dates

Every class by date and rate, or the package with its session count and travel.

3

Download and send

Download the PDF and send it on the same day each month so the studio can schedule payment.

Studio rates, privates and pricing your own workshops

Send the studio a monthly invoice, on a schedule

Pick a day — the first or the last of the month — and send every studio the same document on that day. Number them sequentially, list the classes by date, and include your W-9 details if you are a US contractor. Teachers who invoice on a schedule get paid on a schedule; teachers who text a total get paid when someone gets to it.

Know which rate structure you are on

  • Flat per class: simple, and the right structure for a new or small class.
  • Per head: rewards you for filling the room, exposes you to weather and holidays.
  • Base plus per head above a threshold: the fairest of the three; ask for it once your class is established.

Price privates and corporate for what they really cost

A private session includes travel, scheduling, sequencing for one body and often props you carry. A corporate class means invoicing a company, carrying your own liability insurance and teaching in a conference room you have to clear. Both should be multiples of a studio class rate, sold in packages of four to eight so the client commits to a habit rather than an experiment.

Own your workshops

The economics change completely when you fill the room. Either rent the space at a flat fee and keep the revenue, or agree a split with the studio and invoice for your share with the headcount shown. For retreats, invoice deposits against a published cancellation schedule — the villa and the flights are committed long before the guests are.

Avoid these

Three mistakes that delay payment

No invoice to the studio at all

You become the last thing on the owner's list. A numbered invoice on a fixed day fixes it.

Private clients charged the studio rate

Privates carry travel, scheduling and one-to-one planning. Price them accordingly, in packages.

Retreat deposits without a cancellation schedule

You commit to the venue months out. The deposit terms have to match that commitment.
