What is a pool service invoice?

A pool service invoice is a recurring document, which makes consistency its main virtue. The monthly service fee covers the visits; chemicals, repairs and filter cleans vary, and separating them means the customer recognises the base fee every month and only questions what changed.

Chemicals are the line that decides whether a route is profitable. Some companies include a standard allowance and bill excess; others pass everything through at cost. Both work — quietly absorbing a hot August of chlorine demand does not.

Repairs are a different business from service, with their own approval process. Diagnose, quote, get authorisation, then invoice with the part number and the warranty. Repairs appearing unannounced on a service invoice are the most common source of pool-route disputes.

Anatomy of the document

What to include

Everything below is already in the generator above — this is what each part is for.

Service address and period

The pool serviced and the month covered, since routes cover many properties.

Visits completed

The number of visits in the period, and the service level they cover.

Chemicals used

Chlorine, acid, stabiliser and specialty chemicals with quantities and cost.

Filter cleans and equipment work

DE or cartridge cleans, and repairs with parts and labor shown.

Water chemistry readings

Last readings taken, which justify the chemical charges.

Openings, closings and extras

Seasonal opening or closing, drain and refill, or algae remediation.

How to use the generator

Three steps to a finished PDF

1

Enter the property and period

Customer, pool address and the month the invoice covers.

2

Bill service, chemicals and repairs

Monthly fee with visit count, chemicals with quantities, then approved repairs.

3

Download and send

Send the PDF on the same date each month, with readings and any repair quotes.

Route pricing, chemicals and repair approvals

Decide your chemical policy and state it

Either include a chemical allowance in the monthly fee and bill the excess, or pass all chemicals through at cost with the service fee covering labor only. Both are defensible and customers accept either. What causes churn is a monthly total that moves without explanation, which is what happens when chemicals are silently absorbed then abruptly passed on.

Quote repairs before you do them

  • Diagnose, quote in writing, get approval — then invoice with part numbers.
  • Show the warranty on parts and labor for every repair.
  • Keep repair lines visually separate from the recurring service charge.

Bill filter cleans and seasonal work as scheduled events

Quarterly filter cleans, openings, closings and drain-and-refills are predictable, so put them on a schedule the customer knows about and invoice them in the month they happen. Predictable extras are far easier to collect than surprise ones, and scheduling them protects your route capacity in the weeks that matter.

Avoid these

Three mistakes that delay payment

Chemicals absorbed into the fee

A hot summer of chlorine demand eats the route's margin invisibly.

Repairs without written approval

The most common pool-route dispute, and the hardest to win after the fact.

Inconsistent invoice dates

Recurring billing only feels routine when it arrives on the same day.

FAQ

Common questions

Use the generator on this page: enter the pool address and month, bill the monthly service fee with the visit count, list chemicals with quantities and cost, then add approved repairs, filter cleans and seasonal work.
Either works, as long as it is stated. Include an allowance and bill the excess, or pass all chemicals through at cost with the fee covering labor.
Diagnose, quote in writing, get approval, then invoice with part numbers and warranty terms on lines clearly separate from the service fee.
It is not required, but including the last readings justifies the chemical charges and shows the service is being performed properly.
Monthly, on the same date, ideally on autopay. Consistency is what makes recurring billing collectible without chasing.
