What is an IT services invoice?
An IT services invoice usually bills three different things at once: a recurring managed-services fee, project or overage labour, and resold hardware and software licences. Each behaves differently, and merging them is how MSPs lose track of their own margin.
The recurring fee is normally priced per seat, per device or per site, for a named period. Making the count and the period visible — “42 seats, September 2026” — lets the client reconcile the invoice against their own headcount, which is the single biggest source of MSP billing queries.
Projects and out-of-scope work belong on separate lines against an approved estimate or change request. Licences and hardware belong on theirs, at cost or with a stated margin, with renewal dates noted so nobody is surprised twelve months later.
What to include
Everything below is already in the generator above — this is what each part is for.
Covered period and seat count
The month or term, and the number of seats, devices or sites the recurring fee is based on.
Service tier or plan name
Which agreement the client is on, so the fee can be checked against the contract.
Project and out-of-scope labour
Separate lines against an approved estimate or change request, with hours and rate where applicable.
Licences and subscriptions
Each licence with quantity, term and renewal date, billed at cost or with your stated margin.
Hardware supplied
Devices with model and quantity, kept apart from labour — and taxable in most states where services are not.
Terms and escalation
Payment terms, PO reference, and the response times or SLA the recurring fee entitles them to.
Three steps to a finished PDF
Enter client and period
Your company and the client’s billing entity, the PO number, and the covered period in the notes field.
Bill recurring, project and resale
Per-seat fee with the count as quantity, then project labour, then licences and hardware at cost or margin.
Download and send to AP
Download the PDF and send it on the same day each month, copying the client’s technical contact.
MSP and IT consulting billing
Bill recurring work in advance, project work in arrears
Managed services are an availability commitment: bill for the month ahead so the fee is paid for the period it protects. Project work is delivery: bill at milestones or on completion. Keeping the two on different clocks makes both easier to defend.
Reconcile seat counts monthly
- Pull the count from the same source every month — your RMM or the client’s directory — and show it on the invoice.
- Agree in the contract when count changes take effect, so a mid-month starter is not an argument.
- Reconciling monthly is how MSPs stop leaking revenue on unbilled seats.
Resell licences deliberately
Decide whether you resell at cost, at a margin, or pass the client straight to the vendor, and be consistent. Whatever you choose, note the term and renewal date on the invoice — the alternative is a renewal nobody planned for and a conversation about why.
Make out-of-scope work visible before you do it
The healthiest MSP relationships have small, frequent out-of-scope invoices rather than large surprising ones. Send a short written approval request, reference it on the invoice line, and out-of-scope billing stops being a source of friction.
Three mistakes that delay payment
Seat count not shown
The most queried line on any MSP invoice is the one the client cannot verify.
Licences merged into the fee
It hides renewals, obscures margin and makes vendor increases look like your price rise.
Out-of-scope billed unannounced
Approval requested after the work is done rarely goes well.
